FoKAL Executive Committee Meeting Minutes

March 3, 2009

1:30pm-3:15pm

Agenda:  

I.  Summit Planning

2009 Summit Planning 

Carrie - Jared & I will meet after the meeting 

Carrie - Anne says that room lists are not due to the park until May 11 so the park is getting used to planning for us. Maybe we can get everything posted to the Directors by April 11 that will give us three weeks to register and then get everything finalized.

Carrie - Anne also said that we may be able to do a cookout on Tues. night at the cottage as an alternative to the dining room; Elsie - what if it rains? Sheree - a backup plan is great

Anne - we can have beer/wine at the facility as long as the park staff does not serve it, the backup for dinner would be the dining room; if we get the two-level facility then there would be plenty of room there

Jared - this would be in lieu of a social event later on in the evening - Anne - yes there would be no extra cost for the reception.

Sheree - could spouses be invited to the cookout? All agree that this will be fine and more inviting

Carrie - Breakfast and Lunch Wed. would be in the dining room

Carrie - what is the distance between the conference facility and the cabin? is it walkable? Anne - there is a path through the woods 

Anne - the dinner should save us money

Carrie - Anne has SWON figured out the fee yet?

 

Another email reminder would be good to the directors - including agenda, topic and even our mission statement

 

II. Mission Statemet

Mission Statement - DRAFT - Through FoKAL, Kentucky's academic libraries unite to enrich higher education in the Commonwealth by pursuing collaborative solutions to common challenges. Priorities include expanding shared access to information resources, sharing expertise, and speaking with one voice on matters affecting libraries. Need feedback

John - Is 'shared' needed in the second sentence? Ilona - that will be fine to remove it

Carrie - Can we make it one sentence?

Through FoKAL, Kentucky's academic libraries unite to enrich higher education in the Commonwealth by pursuing collaborative solutions to common challenges, including access to resources, shared expertise and united advocacy.

Sheree - Challenges are: access to resources, how we share expertise and how we work together

Jared - do we want 'unite' twice?

John - maybe 'cooperate' in the first part

Ilona - Put 'expanded' back in; everyone agrees

John - Special thanks to Ilona and Warren for getting us started on this statement

 

III. Advocacy Committee

Advocacy Committee

John - Questions about the charge 

Stacey - what are the Executive Committee expectations, probably already emailed these

John - we would like a report at the June summit

Stacey - what about the advocacy speaker at the summit?

Carrie - we are working on this and are looking for someone to address it for our campuses and for the state

Stacey - it would depend on expertise, but it may be a few people

Carrie - the committees have freedom to form or group in the best way they can

Stacey - maybe establish work as a whole and then do sub-committees, ACRL has some materials for 'academic advocacy,' first meet with the committee to see the direction we will take

John - have you contacted the committee members yet? Stacey - not yet, was waiting on talking to Executive Committee

Carrie - preliminary advocacy plans would be a wonderful step for the summit

John - an unified theme would be helpful too - to reinforce our 'one voice'

Sheree - for the summit we hope to have a plan for making an advocacy plan, because there may not be time for a full plan to be ready by the summit 

Stacey - first start with defining terms and then come up with a plan/framework, and then look at multiple levels (within institution, general public, legislatures, etc.)

Carrie - Library Legislative Day is May 11-12 in Washington D.C. (Carrie will likely be going)

Stacey - there may be funding issues for those that want to go

Elsie - what should our program focus on at the summit? With the target audience of library directors?

Stacey - may need to pick a focus for this year

John - 5 of 12 advocacy committee members are directors

Carrie - let's see who our speaker is before we open the attendance to all of the advocacy committee members

Stacey - will contact the other committee members to make contact and begin thinking about a plan

Carrie - we have about 8 speakers and most are not local and we'll run our choices by you

 

VI. Other Business

John - Scholarly Communication Conference organization - would people be interested in this? can we get 35? Everyone agreed that there would be interest in this so John will contact Hannalore @ UofL; sponsored by FoKAL?

Ilona - logo question? Send out draft mission and appeal for logo; will send message to FoKAL list

Carrie - SAALCK discussing an ILS workshop; sponsored by FoKAL? Targeting the Fall meeting date, open-source soulutions? John/Ilona - both agree that the ILS is important; Sheree - would AIKCU want to be a sponsor as well? Carrie or Anne - will send something to the FoKAL list; Ilona - how do you communicate with systems people about the changes?

Jared - perhaps we need to define what "FoKAL Sponsorship" means - we know it doesn't mean money because we don't have money to contribute to events 

 

VI. Next Meeting

Pending summit preparations will decide over email
